Create an Event

To create a new event from within the Event Manager, click on the Add New Event button on the toolbar.  Complete the form below.  An event can also be created from the Event Schedule View by right clicking on the calendar within the view and selecting the Add Event menu.

To complete the Member field, click on the drop down arrow and type ahead to find and the select the member who will be hosting the event.  If the event is being hosted by a non member and the non member is not already in the database, click on the + sign to the right of the member field and complete the form below and Save

Edit an Event

Events can be edited in the Event Manager by finding and clicking on the event in the event list and then selecting the edit button from the toolbar.  You can also edit an event from the Event Schedule View by right clicking on the event and selecting the Edit Event button

Add Event Schedule

All events are comprised of one or more schedules.  By way of example, a wedding might be comprised of three schedules, ceremony, cocktails and dinner.

To add an event schedule to an event, click on the event in the event list and then select the Add New Schedule button on the toolbar.  You can also add an event schedule by right clicking on the event in the Event Schedule View.  Next, complete the form below and then save

Add the Menu to an Event Schedule

To add sales items to the Event Schedule, follow the steps below.

  • Find the item in the Inventory Manager
  • Click on the item and drag it onto the Inventory Items grid to the right

  • Complete the quantity of items.  By default the form will be repopulated with number of adults and children.  Click OK.

Add Modifiers to a Sales Item

Modifiers can be added to a sales item in an Event Schedule.  By way of example, you may have a sales item called Breakfast Buffet.  You can add modifiers to the Breakfast Buffet which list the specific items to be included in the buffet.

To add a modifier to a sales item, you can drag the entire modifier group or an individual modifier item for the modifier list onto the sales item in the inventory items.

Adding a Note to a Sales Item

You can add a note to a sales item in the Inventory Items grid by clicking in the Notes cell and typing in the note.  The note will appear on the printed BEO.

Changing the Price or Quantity of an Item

Once a sales item has been added to the Inventory Items grid, the quantity or price can be modified inline by cling in the appropriate cell and making the change. 

Note:  You cannot change the quantity or price of an item, once the invoice has been posted.
 

Add Notes to an Event Schedule

Preconfigured or freeform notes can be added to an Event Schedule.

To add pre-configured notes, click on the checkboxes beside the note you wish to add. and then select OK.  You can add as many notes as you wish in a single step.

To add a custom freeform note, type the note in the space at the bottom of the form and select OK.

Note: Freeform notes must be added separately from pre-reconfigured notes.

Modify / Delete Notes

To modify or delete a note, click on the note in the Event Schedule

Click on the note to be modified or deleted.  For pre-reconfigured notes, there are two options.

  1. Use the cursor keys to move the note up or down
  2. Clcik on the Remove Note button to remove the note

For freeform notes there is an additional option to Edit the note.
