Financial Statements

Financial Statements are accessible under the Financial group module.

Buz Club Manager offers 5 different financial statement options:

When the Financial Statement menu is selected, a universal income statement is launched.

Depending on the resolution of your monitor, you may need to use the horizontal scroll bar on the bottom of the screen to view the entire statement.

Configuring the Income Statement

It is very easy to configure the income statement.

Fiscal Period

To select a different fiscal period, use the date controls on the Tool Bar .  The date control offer options to select the year and month for the financial statement you wish to view.

Departmental Statements

To create a departmental statement, click on and then select the departments (known as segments) on which you wish to report.

When you click OK, the operating statement will automatically load the operating statement based on the selected segments.

Columns

By default, the operating statement offers 17 different data columns:

  • Mth Act - Current Month Actual
  • Mth Bgt - Current Month Budget
  • Mth Ly - Same mon th last year
  • Mth Var $ - dollar variance for the current month compared to budget
  • Mth Var % - percentage variance for the current month compared to budget
  •  -Year over year dollar change for the current period
  • Year over year percentage change for the current period
  • The same seven data columns are available for the current year
  • Unspent Bdgt - Unspent Budget
  • Ann Budget - Annual Budget
  • Proj Income - Projected Income, which is the actual income year to date plus the budget for the remaining periods in the year

Columns can be turned on or off using the filed chooser .

Uncheck the columns that you do not want to appear on the financial statements and the statement will adjust automatically to the remaining selected columns.  Close the form when complete.

Columns can be repositioned on the statement and widened or narrowed by using standard Windows drag and drop and column width adjustment techniques.

Statement Line Detail

The level of detail can be expanded or contracted by clicking of the plus signs to the left of each row.  You can drill down to the as far as the individual GL accounts which comprise the group on the your financial statement.  There are also Expand All and Contract All buttons on the Tool Bar .

Other options include Hide/Show Pennies and Hide/Show GL Account Numbers.

Saving Statement Layouts

Once you have completed the layout of your departmental statement, you can save it and reload it any time you want.  To save the layout, click .  There are also options to delete and modify layouts .

Drilling Down to GL Details

From the operating statement, you can view and print GL transaction reports by right mouse clicking on an line item in the statement which represents a GL account and selecting the report you wish to print.

Printing and  Exporting

There are printing and exporting options for the financial report, which is currently in view on the screen.

Tip:  If your screen resolution is not wide enough, not all of the buttons will appear on the Tool Bar.  If that is the case, click on the  icon on the extreme right hand side of the Tool Bar.

A list of Hidden buttons will be exposed for selection.

Toggle Between Statement Views

It is easy to toggle between statement views.  There is a toggle button on the Tool Bar which will be labelled with the current view .  Click on the buton to expose your choices.

Income Statement Monthly

When you load the income statement monthly, you will be presented with a 12 month, monthly statement starting with the fiscal period selected on the Tool Bar and going back 12 months.

All of the functionality described previously, is available from this view.

Balance Sheet

When you load the Balance Sheet, you will be presented with a balance sheet for the fiscal period selected on the Tool Bar.

All of the functionality described previously, is available from this view.

Note:  The Retained Earnings account in the Balanced Sheet displays the amounts posted and the current year's earning as Uposted.

Balance Sheet Monthly

When you load the Balance Sheet Monthly, you will be presented with a 12 month, monthly statement starting with the fiscal period selected on the Tool Bar and going back 12 months.

Cash Flow

When you load the Cash Flow, you will be presented with a Statement of Cash Flow.

All of the functionality described previously, is available from this view.

The Statement of Cash Flow offers 8 different data columns:

  • CurrentPeriod - cash flow for the fiscal period selected
  • LY Current Period - cash flow for the same period last year
  • CurrentYear - cash flow for the current year
  • LYCurrentYear - cash flow for previous year
  • CDollarChage - year over year dollar change in cash flow for the current period versus the same period last year
  • CPercentChange - year over year percentage change in cash flow for the current period versus the same period last year
  • YDollarChange -  year over year dollar change in cash flow for the current year versus the same time last year
  • YPercentageChange -  year over year percentage change in cash flow for the current year versus the same time last year

Note:  The Statement of Cash Flow relies on all bank accounts being properly identifed in the GL Account Manager and all current assets and liabilities being designated in the GL Account Manager.
